Guidelines for Paper/Session Submissions

How to Apply

Members who wish to present are requested to submit the required information online via the application form.
Please note that submissions will be accepted only through the web-based form for this meeting.
For submissions to Concurrent Sessions and Organized Sessions, please apply with the understanding that participation will be in person.

Please note that the conference organizing committee does not arrange accommodations. While Niigata City offers ample accommodation options, we recommend booking early as it will be a busy season.

Conditions for Submission

  1. We accept submissions for Concurrent Sessions and Organized Sessions.
  2. The submission deadline for all applications is Friday, March 6, 2026 (completion of online entry required). Please note that if the number of applications reaches 24, submissions may close before March 6.
  3. For Concurrent Sessions, the presenter must be a member of JSIE. For Organized Sessions, the session organizer (representative) must be a member of JSIE. Non-members must complete the membership registration procedure (including payment of membership fees) on the JSIE website by the submission deadline above. If you are unable to complete the membership procedure by the deadline due to special circumstances, please contact the Organizing Committee. Membership will be formally reviewed and approved at the Board meeting held during this conference.
  4. Applicants for Concurrent Sessions must enter an “Abstract” of approximately 400 English words in the application form. Applications without this entry will be considered invalid.
  5. If the paper has co-authors, please enter each co-author’s name and affiliation in the application form. Please note that the presentation must be delivered by one presenter only; joint presentations by multiple co-authors are not permitted.
  6. For Organized Sessions, individual presenters should not apply separately. Instead, the session representative should submit the application on behalf of the session. In addition, the representative must enter an “Organized Session Overview” including brief descriptions of each presentation (approximately 800 English words).
  7. The session representative of an Organized Session may invite non-members as presenters and discussants. However, no more than half of the presenters/discussants (in principle, six persons in total) may be non-members (e.g., if there are six persons, up to three may be non-members).
  8. Even if you apply for an Organized Session, the Program Committee may ask you to present in an Open Session, or you may be asked to withdraw your session proposal.
  9. When a student member applies to present, the student must obtain prior approval from their supervisor or a recommending regular member, and must enter the recommender’s name in the application form. The recommender’s name will be printed in the program.
  10. Applications for Organized Sessions must be submitted after obtaining preliminary consent from the proposed discussant(s). In principle, the session representative will serve as the chair of the session, regardless of whether they present or discuss.
  11. The standard presentation time is 25 minutes per paper for both Concurrent Sessions and Organized Sessions.
  12. If you wish to present in English, please indicate this in the application form. Presentations in English will be marked with (E) after the presenter’s name in the program.
  13. If you wish to have your status as job-seeking indicated by (J), please mark the relevant checkbox/field in the application form.

Notification of Acceptance and Submission of Abstract / Full Paper

  1. Acceptance decisions will be made by the Kanto Branch Board Member Committee after review by the Spring Meeting Program Committee. Accepted presenters will be notified around early April. For Organized Sessions, notification will be sent only to the session representative.
  2. Accepted presenters (including presenters in Organized Sessions) are required to submit both a conference abstract and a full paper to the Program Committee Chair as well as to the assigned discussant(s) and chair by Friday, May 9, 2026. Please note that failure to submit by the deadline may result in cancellation of your presentation. The conference abstract should be prepared to fit within one A4 page, reflecting the content of the full paper. Even if it is identical to the summary submitted at the time of application, please submit it again.
  3. The submitted conference abstracts will be posted on the special website for the 15th Spring Meeting under “Program.” Upon request, the full paper may also be posted on the website (in place of, or in addition to, the abstract).
